# Quotes (Support at Home)

> Create, manage, and convert Support at Home quotes for participants in Visualcare

The SAH quoting tool lets you build a detailed service quote for a participant, monitor their funding against planned services, and convert the quote directly into a client profile, agreement, and roster templates. Access it from **Operations** → **Quotes** → **Support at Home Quotes**.

## Creating a new quote

Click **Add New Support at Home Quote** to open the quote form.

### Client information

Choose how to link the quote to a client:

| Option              | When to use                                                       |
| ------------------- | ----------------------------------------------------------------- |
| **New client**      | The participant does not yet have a profile in Visualcare         |
| **Existing client** | The participant already has a profile - search by name or ID      |
| **Lead profile**    | The participant has a lead record that has not yet been converted |

Set the **Quote Status** (for example, Draft or Sent) and the **Quote Duration** to define the period the quote covers.

### Classification and contributions

Select the participant's **Classification Level** (1 to 8). This determines the ongoing quarterly budget available.

Set the contribution percentages for each service category:

| Category             | Description                                                 |
| -------------------- | ----------------------------------------------------------- |
| **Everyday Living**  | Personal care, domestic assistance, and similar services    |
| **Independence**     | Services that support independence and participation        |
| **Clinical Support** | Nursing and clinical services - no participant contribution |

Contribution rates vary based on the participant's financial status and whether they are grandfathered under former Home Care Package rules.

### Funding information

Enter the available funding amounts for each applicable stream:

* **Unspent Funds** - any unspent balance carried over from a previous period
* **End of Life** - funding for participants with three months or less to live (A\$25,000)
* **Restorative Care** - short-term restorative funding (up to A\$6,000 for 16 weeks)
* **AT** - Assistive Technology funding
* **HM** - Home Modifications funding

Add any applicable **Supplements** for participants with special funding entitlements.

## Adding services

    Click **Add Service** in the services section of the quote. Select the service code from the list.

  <Step title="Set hours and frequency">
    Enter the number of hours and the frequency (for example, weekly or fortnightly). Select the days of the week the service is delivered and the repeat pattern.

  <Step title="Handle public holidays">
    Choose how public holiday shifts are managed for this service:

    * **Exclude** - the service does not run on public holidays
    * **Add as separate line item** - a separate line is added at the public holiday rate
  </Step>

  <Step title="Mark expenses">
    For one-off purchases (for example, a wheelchair or piece of equipment), tick the **Expense** checkbox and provide a description. Expense items are treated differently from service hours in the budget calculation.

## Monitoring the budget

The quote displays the total funding available against the total cost of planned services. Review this as you add services to make sure the plan stays within the participant's budget.

## Cloning a quote

To base a new quote on an existing one, use **Clone Quote**. This copies all services and settings into a new quote that you can then modify. Useful when a participant's needs are similar across funding periods or when creating variations for comparison.

## Downloading a quote

Click **Download Quote** to export the quote to a Word document. The Word export uses Word Tags configured under **Maintenance** → **Word Tags**. Make sure your Word Tags are set up before downloading.

## Converting a quote

When a quote is approved and ready to action, click **Convert Quote**. This automatically creates:

* A **Client Profile** (if the quote was for a new client or lead)
* An **Agreement** linked to the participant with the relevant funding type and dates
* **Roster Templates** based on the services and schedule in the quote

Review the generated records after conversion to confirm all details are correct before rostering begins.

<Note>Budget information from the Services Australia API feeds into the client profile under the **SAH** tab → **Funding**. Keep this up to date to ensure the quote reflects the participant's actual available funding.</Note>
